1. Who we are

RideCrest Taxis Limited (trading as RideCrest) is a private hire operator licensed by Southampton City Council. We are the data controller for any personal information you give us when you make a booking or contact us.

We are registered with the Information Commissioner's Office (ICO) under registration number ZC259598.

2. What personal information we collect

When you book a journey or contact us, we may collect:

  • Your name — so your driver can identify you
  • Phone number and/or email address — to confirm your booking and contact you about your journey
  • Pickup and drop-off addresses — to complete your journey
  • Date, time and journey details — to arrange and price your booking
  • Flight or ship number — where relevant, so we can track delays
  • Payment information — if you pay online, this is handled by Stripe and we never see your full card details
  • Any accessibility or vehicle requirements you choose to tell us (e.g. wheelchair, assistance animal)

We do not collect any more information than we need to arrange and carry out your journey.

3. Why we use your information

We use your personal information to:

  • Confirm and arrange your booking;
  • Assign a driver and vehicle to your journey;
  • Contact you if there is a change or problem with your journey;
  • Process payment;
  • Keep the booking records that our private hire operator's licence requires us to maintain;
  • Respond to queries or complaints you send us.

We do not use your information for marketing without your agreement, and we do not sell it to any third party.

We process your personal information on the following legal bases under UK GDPR:

  • Contract: we need your information to fulfil the journey you have booked with us.
  • Legal obligation: as a licensed private hire operator, we are required by Southampton City Council to keep booking records (driver, vehicle, pickup point, destination, time).
  • Legitimate interests: we may retain brief records of past journeys to handle complaints or disputes, and to operate our business safely and responsibly.

5. Who we share your information with

We share your information only as necessary to carry out your journey:

  • Your assigned driver — receives your name, pickup address, destination and contact number for the journey.
  • Stripe — if you pay by card online, your payment is processed by Stripe Inc. Their privacy policy is at stripe.com/gb/privacy.

We do not share your information with any other third parties, sell it, or use it for advertising.

6. How long we keep your information

We keep booking records for as long as required by our operator's licence conditions and by UK law — typically 6 years for financial and business records. Contact information for one-off enquiries that did not result in a booking is deleted after a reasonable period.

If you create an account on our website, your account data is kept for as long as your account is active. You can ask us to delete your account at any time.

7. Your rights

Under UK data protection law, you have the right to:

  • Access the personal information we hold about you;
  • Correct any inaccurate information;
  • Ask us to delete your information (subject to our legal obligations to keep certain records);
  • Restrict how we use your information in certain circumstances;
  • Object to processing based on legitimate interests;
  • Complain to the ICO if you are unhappy with how we handle your data.

8. Cookies

Our website uses cookies only for essential functions — for example, to remember where you were in the booking form. We do not use tracking, analytics or advertising cookies.

Most browsers let you control cookies through their settings. Disabling cookies may affect the booking form.
