Questions & answers

Everything you need to know about booking a private hire journey with RideCrest.

Prices and quotes

Is the price fixed?

Yes. You see one fixed price for the whole car before you book, and that's what you pay — there's never any surge pricing, hidden charges or extras added at the end. The price only changes if you change your journey, or if we wait longer than the included free waiting time.

Is it a price for the whole car, or per person?

It's a price for the whole car. So if you're travelling as a group, you split the cost between you — which often works out cheaper than separate trains or a taxi each. One price, no matter how many passengers the car holds.

How do I get a quote?

Use the booking form on the homepage — enter your pickup and drop-off and the price for each car appears instantly. There's no obligation to book.

Are there any extra charges I might not know about?

The quote covers the journey door to door. There are a few situations where something extra can apply:

  • Waiting time: your quote includes a free waiting window (45 minutes for airports after landing, 30 minutes for cruise terminals, 10 minutes for other pickups). After that, a waiting charge of £0.20 a minute applies.
  • Congestion Charge: if your journey goes through the London Congestion Charge zone during charging hours, we add the daily charge to your price.
  • Changes on the day: if you change your drop-off address or add a stop, we'll agree any price difference before we go.
Do you charge more at night?

We add a small night-rate uplift on door-to-door journeys within Southampton (not airport or cruise runs, and not tours) picked up after 10 pm. The price in your quote will already include this if it applies to your journey.

Do you charge more at Christmas or New Year?

We may apply a small Christmas and New Year surcharge around 24–26 December and 31 December–1 January. If this applies to your booking we'll let you know when we confirm it.

Booking

How do I book?

Use the booking form on the homepage. Fill in where and when, choose your car, add your contact details and confirm. We'll reply to confirm your booking — usually within a few minutes during operating hours.

Do I have to pay online to book?

No — you can choose to pay online when you book, but you don't have to. You can also pay by cash, card or bank transfer. The only exception is airport and cruise pickups, and pickups from outside Southampton, which we ask you to pay in advance (we can send you a secure payment link when we confirm your booking).

How do I pay?

Cash, card (online or by payment link) or bank transfer — whichever suits you. Card payments online are processed securely by Stripe; we never see your card details. Bank transfer details are in your booking confirmation.

How far in advance do I need to book?

The earlier the better, especially for busy travel dates. For same-day or next-day journeys, call or WhatsApp us directly on 07541 109738 to check availability.

Can I change or cancel my booking?

Yes — just message or call us as soon as you know. Cancellation is free if you let us know in time:

  • Airport, cruise and tour journeys, or any journey to/from outside Southampton: free to cancel more than 48 hours before pickup.
  • Journeys within Southampton: free to cancel up to 2 hours before pickup.

Cancellations after these windows may incur a charge. See our full cancellation terms.

What are your operating hours?

We operate:

  • Sunday to Thursday: 7:00 am – 10:00 pm
  • Friday and Saturday: 7:00 am – 2:00 am (into the early hours)

You can submit a booking request any time and we'll confirm it when we're next open.

Airports

What if my flight is delayed?

We track your flight automatically, so a delay doesn't count as waiting time. Your driver adjusts their arrival to match your updated landing time. Your price stays the same.

How long will my driver wait after I land?

Your quote includes 45 minutes of free waiting after your flight lands — enough time for passport control, baggage and finding your driver. Car park charges for that time are already in your price. If you need longer, a waiting charge of £0.20 a minute applies after that.

Where does my driver meet me?

In the arrivals hall, holding a name board with your name on it. We'll confirm the exact meeting point in your booking confirmation — it varies slightly by terminal and airport.

Which airports do you cover?

All UK airports — Southampton, Heathrow (all terminals), Gatwick, Stansted, Luton, Bristol, Birmingham, Manchester and more. If your airport isn't listed in the booking form just type it in and we'll price it up for you.

Can you do an early-morning airport run?

Yes. Our operating hours are from 7:00 am on most days. For very early departures (before 7 am), call us or WhatsApp to arrange it in advance.

Cruise terminals

Which cruise terminals in Southampton do you serve?

All four — Mayflower (106), City (101), Ocean (QEII Terminal) and the Queen Elizabeth II Terminal. See our cruise terminal guide for meeting points and arrival tips for each one.

How early should I arrive at the cruise terminal?

Most cruise lines advise arriving at your allocated check-in time, which is typically 1–3 hours before sailing. We'd suggest adding a buffer — allow for traffic on the approach roads, especially on heavy embarkation days.

Can you help with luggage?

Yes, your driver will help load and unload at both ends. If you have a lot of luggage — more cases than passengers — it's worth choosing an Estate or MPV so everything fits comfortably.

We're arriving by ship — can you pick us up at the terminal?

Yes. Because disembarkation times vary, we track your ship and adjust if needed. Your driver meets you in the terminal arrivals area — your confirmation will have the exact spot.

Cars and luggage

Which cars do you have?

We have four vehicle types to choose from:

  • Saloon — up to 4 passengers and 4 cases
  • Estate — up to 4 passengers and 5 cases
  • Executive — premium cars, up to 4 passengers and 4 cases
  • MPV — larger people carriers for up to 8 passengers
Do you have child seats?

We don't carry child seats. Under UK law, you can travel in a private hire taxi without a child seat as long as the child uses the adult seatbelt — but if you prefer to use your own seat, you're welcome to bring it and your driver will help fit it.

Can I bring a pet?

Please let us know when you book. Most pets in a carrier or crate are fine — we'll match you to a driver who's happy to carry pets. Guide dogs and other assistance animals are always welcome.

Can I bring a folding wheelchair or pushchair?

Yes — let us know when you book so we can make sure the right vehicle is assigned. Estate and MPV cars have the most boot space.

Day tours

How do day tours work?

You book the car for the day and we take you to whichever places you'd like to visit, waiting for you at each stop. The price is based on mileage plus a time charge of £30 an hour while we're stopped (£40 in an Executive car), with the first three hours at stops at full rate and half price after that.

Can I design my own tour?

Absolutely. Our popular tours — Stonehenge, Bath, Oxford, the Cotswolds and others — are there as starting points. You can pick any combination of places and our booking form will build the route. Or just tell us where you want to go and we'll work it out together.

Are tours popular with cruise passengers?

Very much so. Many cruise passengers have a day in Southampton and want to explore the area before or after their voyage. See our Visiting Southampton guide for some of the most popular destinations from the cruise terminals.
